Location: Remote

Compensation: $50,000 annually

Schedule: Monday–Thursday | 8:30 AM – 5:00 PM (ET)

Flex Friday: 8:30 AM – 2:00 PM (ET)

Start Date: Monday, January 12th, 2026

About the Role

Charles Clark International is seeking a highly organized, strategic, and execution-driven Executive Assistant & Booking Manager to serve as a right-hand partner to the CEO and support the operations, booking pipeline, and client experience of a global keynote speaker brand.

This role is ideal for someone who thrives in close collaboration with leadership, takes initiative, and can manage both high-level strategy and day-to-day execution. You’ll work directly with the CEO to manage leads, bookings, travel, and internal systems—playing a critical role in revenue flow, operations, and overall momentum of the business.

What You’ll Be Responsible For

Lead & Booking Management
  • Manage all incoming leads and client inquiries with professionalism, clarity, and urgency
  • Make and take phone calls throughout the day with prospective clients, partners, and bureaus
  • Qualify leads, guide prospects through the booking process, and move deals forward efficiently
  • Manage a portion of leads and bookings through Journey Speakers Bureau (minimal workload)
  • Serve as the primary point of contact for clients during the inquiry, contracting, and pre-event phases
Contracts, Travel & Logistics
  • Oversee the contracting process using ClickUp and Dubsado , ensuring accuracy and timely execution
  • Book and coordinate all travel logistics, including flights, hotels, ground transportation, and itineraries
  • Ensure clients, bureaus, and internal stakeholders are aligned on event details and expectations
Executive & Operations Support (CEO Partnership)
  • Act as the CEO’s right-hand partner , providing daily operational and administrative support
  • Maintain close communication with the CEO to prioritize initiatives, manage schedules, and support decision-making
  • Tackle special projects, personal tasks, and time-sensitive requests assigned directly by the CEO with discretion and efficiency.
  • Anticipate needs, flag risks, and proactively solve problems before they escalate
  • Support internal projects and initiatives that directly impact growth, visibility, and revenue
Systems, Projects & Workflow
  • Maintain and update CRM records, deal stages, and booking documentation
  • Track deadlines, deliverables, and milestones to ensure seamless execution
  • Build, document, and refine repeatable processes that improve efficiency and consistency
  • Coordinate with team members and contractors to ensure alignment and follow-through
Strategy, Reporting & Optimization
  • Track key performance metrics related to leads, bookings, and revenue
  • Analyze data and provide insights to support strategic decisions
  • Support marketing and operational initiatives across platforms such as Meta, Showit, and related tools
What We’re Looking For

Experience & Skills

  • Proven experience in executive support, booking management, or operations/project management
  • Strong working knowledge of ClickUp and Dubsado (or comparable platforms)
  • Confident, professional phone presence and strong written communication
  • Highly organized, detail-oriented, and able to manage multiple priorities independently
  • Comfortable working remotely while staying closely connected to leadership
