# Virtual Assistant - Receptionist & Data Entry Specialist

## Job Summary
As our Virtual Assistant specializing in receptionist duties and data entry, you will be the first point of contact for clients, partners, and team members. You'll handle virtual reception tasks with a friendly demeanor while ensuring data is entered accurately and promptly. This role requires strong communication, attention to detail, and the ability to multitask in a fast-paced remote setting.
## Key Responsibilities
- **Receptionist Duties:**
- Answer and route incoming calls, emails, and live chat inquiries professionally and promptly.
- Greet virtual visitors via video calls or messaging platforms (e.g., Zoom ring central).
- Manage executive calendars, schedule appointments, meetings, and reminders using tools like Google Calendar or Outlook.
- Handle customer inquiries, provide information, and escalate issues as needed.
- Prepare and distribute meeting agendas, notes, and follow-up actions.
- **Data Entry & Administrative Support:**
- Perform high-volume, accurate data entry into CRM systems (e.g., Agency zoom), spreadsheets (Excel/Google Sheets), and databases.
- Update and maintain customer records, inventory lists, and reports.
- Organize digital files, folders, and documents for easy access.
- Generate simple reports, invoices, or summaries from entered data.
- Verify data for accuracy, completeness, and compliance with privacy standards (e.g., GDPR).
- **General Support:**
- Assist with light social media scheduling or email campaigns.
- Order supplies or manage vendor communications as needed.
- Perform ad-hoc administrative tasks to support team efficiency.
## Preferred Skills
- Experience with virtual phone systems (e.g., RingCentral, Google Voice).
- Bilingual (Spanish/another language a huge plus).
