We are a small but well established high-end residential construction, maintenance, and interior design business based in Birmingham, AL. We are known for our attention to detail, commitment to quality, and warm, personalized approach to each project. We are looking for a dedicated Office Manager / Executive Assistant to help keep our operations organized and running smoothly.
Position Overview
This dual-role position supports both companies (construction and interior design) and plays a key part in maintaining efficient office operations while providing executive-level administrative support. The ideal candidate is highly organized, trustworthy, and comfortable wearing many hats—from financial coordination to customer communication. Compensation is competitive with industry standards and commensurate with experience.
Key Responsibilities
- Oversee day-to-day office operations for both companies
- Manage payroll, accounts receivable, and accounts payable
- Handle company licensing, insurance renewals, and insurance audits
- Coordinate and manage executives’ personal financial tasks
- Maintain organized digital and physical filing systems
- Assist with scheduling, communication, and client-facing interactions
- Support project documentation and general administrative needs
- Serve as a friendly, professional point of contact for clients, vendors, and partners
Required Qualifications
- QuickBooks Certified
- Minimum 6 years of experience in a similar office management or executive assistant role
- Strong organizational and time-management skills
- High level of discretion and professionalism, especially when handling confidential information
Preferred Skills
- Excellent interpersonal and customer-facing communication skills
- Proficiency in Microsoft Excel
- Strong working knowledge of Mac OS
- Ability to multitask and adapt to shifting priorities
- Experience in construction, homebuilding, or interior design industries is a plus (but not required)

- Hybrid schedule with 3 days in-office minimum each week
