About the role

As a Medical Records Specialist at PHM you'll work closely with the Medical Records team collecting, processing, and maintaining medical records for our client cases. You'll work directly with physicians' offices and hospitals to help them understand the why behind the urgency and necessity of delivering the records. We call this "getting the yes from the no."

What You'll Accomplish

  • Work directly with doctors/facilities via phone on all assigned case tasks
  • Create thorough case folders by collecting, separating, labeling and uploading records
  • Collect images on disc and electronically from doctors/facilities

How You'll Spend Your Days

  • Coordinate and oversee the collection and administration of medical records and related information from doctors' offices, hospitals, and facilities
  • Think creatively to prevent and mitigate case delays and influence external entities to secure medical records and files
  • Compile, process and maintain medical records efficiently and consistent with medical administrative, ethical, legal and regulatory requirements
  • Collaborate consistently with clinical staff to facilitate and expedite cases
  • Develop and maintain relationships with medical record facilities
  • Expertly navigate proprietary and generic technology solutions
  • Ensure all casework and processes follow HIPPA compliant protocols with all parties encountered throughout the process

What you bring to the table:

  • 2+ years of experience in a medical records setting.
  • Strong adaptability — you stay calm, flexible, and solution-oriented in a rapidly evolving environment.
  • A self-starter mindset — proactive, curious, and comfortable working independently.
  • High technological fluency — you learn new systems fast and leverage tech to get results.
  • Excellent communication and customer service skills with clients, team members, and medical partners.
  • Knowledge of medical terminology and a meticulous attention to detail.

Compensation : The hourly rate for this position is $25-26.44 per hour, which equals an approximate annual salary equivalent of $50,000-$57,000 annually.

This compensation is only a part of a total compensation package that also includes health/dental/vision benefits, 401k with match, PTO and other benefits. Individual pay may vary from the target range as a number of factors including market forces, experience, location, disparities in market data and other relevant business considerations may all factor into final compensation.
