Position Summary: The administrative assistant serves as administrative support for the Executive Team. This position acts in a manner that reflects the Philosophy and Mission of the Sisters of Charity of Leavenworth (SCL). The Administrative Assistant must handle a wide variety of sensitive and confidential information discreetly, concerning both corporate and personnel affairs.

Responsibilities

  • Provides secretarial and administrative support for the Executive team.
  • Manages multiple tasks and assignments simultaneously while maintaining the highest level of confidentiality.
  • Demonstrates professionalism and diplomacy consistently.
  • Organizes office processes and understands Community policies and procedures to carry out assigned administrative responsibilities.
  • Prepares interoffice and external correspondence in final form.
  • Schedules meetings, conferences, travel, etc..
  • Monitors the Executive Team’s calendars and provides support for meetings and travel.
  • Provides support for various special projects assigned.
  • Assembles, maintains, and updates files that may contain highly confidential and sensitive information.
  • Prepares a variety of administrative-related correspondence and reports in an efficient manner with a high level of speed and accuracy.
  • Takes and distributes minutes, as requested.
  • Produces materials for the Executive Team.
  • Uses various software programs to create booklets, brochures, liturgical worship aids, etc.
  • Operates standard office machines and equipment.
  • Prepares and distributes information related to specific funds, receives applications, notifies gift recipients, and tracks compliance with evaluation criteria.
  • May provide additional administrative support to necessary departments as assigned.
  • Performs other related duties as assigned.

Qualifications

  • Associate degree in secretarial science, business administration, or equivalent combination of education/experience preferred.
  • A minimum of five years’ experience in a similar position is required.
  • Proficient in Microsoft Windows, Microsoft Office Suite, and Adobe Acrobat.
  • Proficient in taking meeting minutes.
  • Experience working with desktop publishing software.
  • Excellent verbal and written communication skills.
  • Excellent organizational and problem-solving skills.
  • Detail-oriented.
  • Ability to work independently.
  • Experience designing documents and graphics in Canva, Preferred .
  • Experience in writing diverse types of communication in various voices  is preferred .

Physical Requirements

  • Ability to perform sedentary work, sitting at a desk and/or typing for extended periods of time.
  • Able to lift, carry, push, and pull up to 25 pounds.
  • Stoops and bends when using files.
  • Finger dexterity and eye-hand coordination are necessary in operating a personal computer.
  • Requires concentrated visual attention, which must be maintained for sustained periods. Good vision and hearing acuity are essential for accurately recording data and responding to calls.
